Privacy Policy

Who We Are

Ledger Tracker is a software-as-a-service (SaaS) bookkeeping tool operated by Creative Solutions Innovations LLC, based in Eugene, Oregon, USA. Ledger Tracker helps small businesses capture receipts, organize bank transactions, and prepare clean records to hand off to their accountant. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have.

Information We Collect

• Account information: your email address and name when you sign up.
• Receipts and bank transactions: the receipt images, invoices, and transaction details you upload or import into Ledger Tracker.
• Files from connected services: data you choose to import from services you connect, such as files you open with our app or emails you let us scan.

How We Use Google Drive

Ledger Tracker uses Google Drive's drive.file OAuth scope. This scope limits our access to only the files our app creates or that you explicitly open with our app. We cannot see, read, list, or modify any other files in your Google Drive. We use this access exclusively to upload your CPA bundle exports (ZIP files) into the company folder you link in Settings, so your accountant can retrieve them.

How We Use Gmail / Outlook

If you connect a Gmail or Outlook account, we scan recent emails for receipts and invoices based on subject keywords and attachments. We do not store full email content. We only extract and store the receipt data we find — vendor, amount, and date — along with the attached receipt image. You can disconnect an email account at any time from the Settings page.

Bank Data

When you connect a bank account through Plaid, we receive your transaction history. Plaid is the data provider that facilitates this secure exchange, and Plaid's own privacy policy governs how that connection is handled. We use the transaction data only to populate your bookkeeping records inside Ledger Tracker.

Where Your Data Is Stored

• Your account data and records are stored in Supabase (US region).
• Receipt images are stored in private Supabase Storage that is not publicly accessible.
• CPA bundle exports are uploaded to the Google Drive folder you link in Settings.

How We Share Information

We do not sell your data, and we do not share it with third parties for their marketing. We rely on the following subprocessors to operate the service:

• Supabase — database and file storage
• Render — application hosting
• Stripe — payment processing
• Resend — transactional email
• Plaid — bank transaction data
• Google — Google Drive integration
• Anthropic — OCR processing on receipt images

Your Rights and Choices

You are in control of your data. From the Settings page you can:

• Export your data.
• Delete your account, which deletes all associated data.
• Revoke any connected service (Google Drive, Gmail/Outlook, or your bank).

Google API Services User Data Policy

Ledger Tracker's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Cookies

We use only necessary cookies that keep you signed in (authentication). We do not use advertising or third-party tracking cookies.

Changes to This Policy

We may update this Privacy Policy from time to time. For material changes, we will notify users by email. Continued use of Ledger Tracker after an update means you accept the revised policy.
